Start with a master folder
Create a private digital folder and a separate physical file. Group items into identity, academics, admission, payments and travel. Name files clearly so you can find the latest version quickly. Retain originals safely and provide them only when the official process requires them.
The exact list depends on the university, programme and visa instructions. Treat the categories below as preparation for your checklist, rather than a universal list of compulsory documents.
Identity and academic records
- Passport and any identity documents requested by the institution.
- School certificates and marksheets, including the subjects relevant to the course.
- NEET result and the eligibility evidence applicable to your circumstances.
- Photographs meeting the required format.
- Any explanation or supporting record requested for changes in name or academic history.
Translations and formalities
Ask the admissions office which language each document must be in, who may translate it and whether notarisation, legalisation, apostille or recognition procedures apply. Do not arrange a costly document service on the assumption that every university uses the same process.

Offer, payment and travel records
Keep the application receipt, admission correspondence, educational contract, fee schedule, payment receipts, invitation and visa-related documents together. Store accommodation and arrival confirmations where you can access them without mobile data.
If a medical certificate or insurance document is requested, confirm the required format and validity period with the university or consular authority. Share health records only through the relevant secure process, not through a general website enquiry.
A final consistency check
Compare the spelling of your name, passport number, date of birth and programme across the complete file. Ask someone else to read the final application. A five-minute check can prevent a small inconsistency becoming a problem when several offices are involved.
